Position Description | BASIC FUNCTION: As the primary point of contact for JGA, this role involves welcoming visitors, managing the reception area and breakroom, and ensuring smooth communication both internally and externally to uphold a professional image for the company.
Responsibilities include handling phone calls, creating a positive first impression, addressing inquiries, managing office supplies, and providing administrative support to the administrative staff.
MAJOR DUTIES AND RESPONSIBILITIES:
- Open and prepare the office every morning.
- Prepare coffee for all. Empty the dishwasher and reload.
- Straighten lobby area.
- Make sure printers are on and have both kinds of paper loaded.
- Greet visitors and staff, and maintain a tidy, professional reception, lobby, and conference room
- Answer and direct calls to the appropriate individual. Forward appropriately along with incoming and outgoing mail, packages, and deliveries.
- Ensure the breakroom is tidy.
- Clean out the refrigerator monthly.
- Keep all items stocked.
- Strong verbal and written communication skills are essential for interacting with visitors and colleagues.
- Assist with conference room scheduling to ensure that no meetings are double-booked and the room is tidy before and after each meeting.
- Act as the backup contact for the Business Manager for all building and Maintenance requests.
- Take concerns from staff and coordinate with the appropriate person to resolve issues (i.e., temperature, housekeeping, etc.)
- Act as a liaison between the Building Manager and JGA.
- Coordinate office-wide events.
- All other duties as assigned or requested.

- Kitchen duties: Coffee, stock supplies, and clean up
- Maintain printers
- Maintain, order, and organize office supplies, including stationery, business cards, etc.
- Assist with guests
- Miscellaneous record keeping and filing
- Miscellaneous administrative projects
